Event Hire (pre paid)
By You
All hire will be confirmed in writing via email by you (The Hirer) and us (Scoff & Sip) resulting in a legal binding contract. The company will assume all Scoff & Sip Ltd Terms and conditions have been read and the hirer (you) are in full agreement. On arrival at any event where another operator has been booked by mistake or knowingly without notice to Scoff and Sip Ltd. serving ice cream/hot food and related products The Company will invoice for loss of earnings.
All pre-paid hire fees must be paid in full two months prior to event by means of bank transfer, cheque or cash. Scoff and Sip Ltd. reserves the right to cancel any booking where payment has not been received in full by the given date. A deposit of 50% of the total hire fee will be taking upon booking to secure your chosen vehicle and date. Cancellation of hire by the hirer can be made until 3 months prior to the event and a full refund will be given (less a £50 administration charge); cancellation thereafter will not incur a refund. Cancellation can only be made in writing by post or email,: only by the person who made the original booking, by email: must be via the original booking email address.
Should the hirer request to reschedule an event to another date we will do our upmost to re-book according to availability, if this request is less than four weeks prior to event and we have availability this will incur no charge however if we are unable to reschedule cancellation fees will apply.
Event hire (non pre –paid)

Cancellation of hire can be made four weeks prior to event incurring no charge, cancellation within four weeks of event may incur a small administration charge without what is considered by us to be reasonable cause. We will only usually accept the weather to be reasonable cause no less than three weeks prior to event as a three week forecast is readily available with the met office, however should there be an unpredicted and sudden change we fully understand the problems associated with the weather and outdoor event hire so a common sense a approach will be agreed by us and you. Cancellation can only be made in writing by post or email, by post: only by the person who made the original booking, by email: must be via the original booking email address.
For all hire: You must be over 18 to book.
It is the responsibility of the Event organiser to make sure the allocated space for the Ice cream van /Catering unit is such as not to cause annoyance to others by either pollution/illegal or unsafe trading area. At the time of booking an agreed pitch position will for catering units require a non trip route for any cables for electrical supply to our units. All electrical certification available for connection made between Scoff & Sip’s units and hirer supply. Scoff and Sip Ltd. reserves the right to remove any vehicle from an event due to in our opinion conduct likely to cause injury or danger to staff. Right to not enter a site in our opinion will cause damage to either property or company vehicle or Remove a van from event hire if the event should not be as described and agreed at the time of booking. Should an event site be inaccessible or legally unsuitable no refund will be available and we reserve the right to recover costs or losses.
It is the responsibility of the hirer to inform Scoff and Sip Ltd no less than five working days prior to event of any known significant changes to the event details given at the time of booking to include ticket sales, expected attendee’s.
Scoff and Sip Ltd reserves the right to invoice and recover costs should an event not be as described by the hirer at the time of booking.
Upon hire we will assume to be the sole supplier of all related products according to unit booked with Scoff & Sip. Ice cream products / hot food and related products for the duration of the event unless agreed by Scoff and Sip Ltd at the time of booking. Ice cream related products to include Iced Slush Puppy or slush and ice pops/poles. All related products sold at an event without prior agreement by Scoff & Sip / we reserve the right to reduce percentage donation or commission rate.
We assume the hirer to have read and understand full terms and conditions relating to being sole supplier unless agreed by Scoff and Sip Ltd. Scoff & Sip reserve the right to recover costs should an event be double booked by any event organiser or any persons event organiser has delegated to the related event with or without their knowledge.
It is the responsibility of the hirer to inform Scoff and Sip Ltd at the time of booking of any product restrictions relating to products normally associated to be traded by Scoff and Sip Ltd.
The hirer is liable for all parking charges or fines incurred by us while we Scoff and Sip Ltd are under instruction by you The hirer to a specific site, serving point requested either at the time of booking or verbal request on day of hire. In the event of such parking fines we Scoff and Sip Ltd.
will pay the penalty immediately so as not to incur any increase in fine and recover the cost by way of adding to final invoice or by separate invoice at a later date. A copy of Penalty payment receipt will be sent to you the hirer.
By Us
Will do everything within our power to, arrive well before the booked time, and provide uniformed fully insured operatives. Show on request Trading licence, Food preparation & hazard analysis documents , Hygiene certificates, product and public liability insurance certificates, Electrical & Gas certification, risk assessment documentation. These can be sent electronically prior to event on request. Any delay in arrival or serving due to machinery or mechanical breakdown Scoff and Sip Ltd will inform and update the hirer and endeavor to repair or to arrange for another vehicle by us or sub-contract with a known and trusted company. Failure to meet our booking obligation by any of the above within a considered by us deemed reasonable time would result in a full refund. We accept no liability for severe traffic delays or reasons beyond our control. Scoff and Sip Ltd accepts no further liability for compensation over and above the afore mentioned refund conditions due to unforeseen Mechanical or machinery failure. Scoff and Sip Ltd accept no further liability or compensation for unforeseen mechanical or machinery breakdown relating to body wrapped vehicles or their attendance for the promotional event.
Supply and serve all products according to hygiene and health and safety regulations.
Supply and serve all products as advertised subject to Stock availability from suppliers. We reserve the right to add or withdraw items to our products range without notice.
Make reasonable attempt to clear all rubbish discarded or caused by us.
Companies/Schools/Charities/Organisations will be sent the agreed % donation via bank transfer within five working days of the event. Before calculation of the % the current VAT percentage owed to HM Revenue & Customs on sales will be taken from total. Scoff and Sip Ltd reserve the right to deduct unit hire expenses from the total days sales before any percentage calculation is made should an event not be as described by you the hirer at the time of booking.
Donations and Commission payments can only be calculated at the agreed percentage once the unit allocated has reached a profitable stage and any percentage agreement will be deemed invalid where the unit has been unable to reach profitability due to circumstances beyond the company’s control.
Advertising and promotional campaigns

During the advertising or promotional campaign while advertising the hirer’s company name, colours ,logo ,message or company uniform, we will to the best of our ability promise to uphold the good name and always act as ambassadors for you the hirer.
By You
Full body wrap vinyl.
Full body wrap vinyl’s by their nature very often cause paint damage at the point of removal .By accepting our terms and conditions of hire the hirer is responsible for all paint or body damage caused by the removal of your advertising vinyl, stickers etc and a fixed daily rate for each day the vehicle has to be removed from service for repair. This daily rate will be agreed and fixed at the time of booking. Inspection for such damage will be accessed before and after by an independent company. Should the above repair be needed Scoff & Sip will invoice you the hirer after completion of any such work.
